Lightspire for salons

When you're mid-colour and the phone rings out, that client books with the salon down the road. Your agent answers every call, books the right length of appointment, and sends you the details.

A day with Fraser

These examples use a made-up salon, Willow Hair Studio, and its agent, Fraser. Yours answers from your own services, prices and hours.

"Can I get a cut and colour on Saturday morning?"

Fraser knows a cut and colour takes about two hours, so he only offers gaps that fit: "I have Saturday at 9 or 10:30. Would either suit?" He takes the caller's name, checks the number, reads the booking back and books it in.

In your calendar: a two-hour cut and colour at 9am Saturday, with the client's name and mobile. You get a booking email.

"How much is a blow-dry?"

Fraser answers from your Services: "A blow-dry is $55 and takes about 45 minutes." Then he offers to book one.

"Have you got anything after work on Thursday?"

Fraser only offers times inside your opening hours that are free, so he offers your last slots on Thursday. If you've connected Google Calendar or Outlook, anything you've put in there blocks the time too.

"I need to move my appointment to next week."

Fraser finds the existing booking and offers new times. The old time is freed and the new one lands in your calendar. If you'd like, he can also ask "Is there someone you'd like to see?" or about allergies: on the Intake questions tab, choose Hair or beauty salon under Starter questions, then Add these questions. See Ask callers your own questions.

What to paste as your services

This is an example to edit. Change every service, time and price to yours. Type each service into its own row on the Services tab of the Agent page (Service name, Minutes, Price). Paste the rest into the box under What should it know? on the Knowledge tab.

EXAMPLE: change every name, time and price to yours

Women's cut and blow-dry 60 min $95
Men's cut 30 min $45
Blow-dry 45 min $55
Cut and colour 120 min $220
Full head foils 150 min $260
Toner 30 min $45
Brow shape and tint 30 min $40

What it should know (paste into the Knowledge tab)
We're a hair salon on High Street, Fremantle. Street parking out the front, two hours free.
Open Tuesday to Friday 9am to 6pm, Thursday until 8pm, Saturday 8am to 3pm. Closed Sunday and Monday.
New colour clients need a patch test at least 48 hours before their appointment.
Cancellations: please give 24 hours notice.
We don't do bridal hair or home visits.

Put each price in one place only, on the Services tab. If it's written in your Knowledge text too, keep the two the same.

The divert pattern that suits you

Most salons divert only the calls you don't answer during opening hours. Your phone rings first, and when you're with a client Fraser picks it up. Switch to every call when you're fully booked, on holiday or closed.

On the Booking rules tab, keep One booking at a time on if you're the only stylist, so a time that's taken is never offered twice. Turn it off if several stylists take bookings at once.

The codes for your carrier are in Divert your calls to Lightspire.
