Lightspire for restaurants and cafes
In the middle of service, nobody can get to the phone, and that table for four books somewhere else. Your agent answers every call, takes the reservation request and answers the questions guests always ask.
A day with Fraser
These examples use a made-up restaurant, Little Lane Kitchen, and its agent, Fraser. Yours answers from your own hours, menu notes and booking rules.
"Have you got a table for four at seven on Friday?"
Fraser checks the time is free and inside your hours: "I can do Friday at 7 for four people. Can I get a name for the booking?" He reads it back and books it in.
On your Bookings page and in your calendar: Friday at 7pm, with the guest's name and number. You get a booking email.
To be sure Fraser asks how many people, add it on the Intake questions tab: choose Add an intake question, type "How many people is the booking for?" under Question, and set When to ask to When booking and For to Every booking. Then Save changes. See Ask callers your own questions.
"Do you have gluten-free options?"
Fraser answers from what you've written: "Yes, most of the menu can be made gluten-free." Put your dietary notes in your Knowledge text and he answers them the same way every time.
"Are you open on Mondays?"
"We're closed Monday and Tuesday. Wednesday to Sunday, lunch and dinner." Fraser reads this from your Opening hours, and only takes bookings inside them.
"Is there parking nearby?"
Fraser answers from your Knowledge text, and offers to book a table while he has the caller.
What to paste as your services
This is an example to edit. Change every name, time and detail to yours. Type each booking type into its own row on the Services tab of the Agent page (Service name, Minutes, Price). Paste the rest into the box under What should it know? on the Knowledge tab.
EXAMPLE: change every name, time and detail to yours
Services (one row each on the Services tab; leave Price empty)
Lunch table 90 min
Dinner table 120 min
What it should know (paste into the Knowledge tab)
We're a small restaurant in a laneway off Rundle Street, Adelaide.
Open Wednesday to Sunday, lunch 12pm to 3pm and dinner 5:30pm to 10pm. Closed Monday and Tuesday.
Most of the menu can be made gluten-free or vegetarian. Tell us about allergies when you book.
BYO wine on Wednesdays only, corkage $10 a bottle.
Paid parking in the Rundle Street car park, two minutes' walk.
Groups of more than 8: take their name and number and we'll call them back.
The divert pattern that suits you
Most restaurants divert only the calls nobody answers on the restaurant's landline. Front of house picks up when they can, and Fraser takes the rest. After close, divert every call so tomorrow's bookings still come in. Landline codes are in Divert a landline.
On the Booking rules tab, turn One booking at a time off. Left on, Fraser only books one table per time slot.
